1. Does Microsoft Office 365, backup your business data?

However, the responsibility for your organization data protection, remains ultimately with the IT manager or company CIO. But the access to these backups are not made available to administrators or for that matter end users, and they are not intended for aiding in the quick & easy point-in-time restoration of lost data, with an unlimited retention period. While it is possible to restore lost and or deleted data using Office 365’s backups, the process is cumbersome, very costly, and problematic to business continuity.
2. What are the retention policies available in Microsoft Office 365, SharePoint Online, OneDrive, etc. ?
Microsoft Office 365 retention policies and limitations are different between its many services & software solutions. Furthermore, these capabilities frequently alter without prior notification to the system admin, user or business owner. Microsoft services contain a defaultive business data retention policy which can be easily customized by the admin, IT manager, for the purpose of managing the organisation data retention period, for legal reasons, and this is carried out by constructing a chosen schedule of data retention for deleted user content. Regardless, of the IT admin’s attempt to comply with the regional data retention policies, the organisational IT department is still responsible for data protection; i.e. The need and ability to restore data which is deleted due to system error, user error, malware, and such.
3. How do we change the retention policy in Microsoft Office 365?
Microsoft Office 365 data retention policies can be configured in a multitude of ways, which is dependant on the organisational retention and deletion requirements.
The data retention policies, can be determined to apply over an entire tenant or configured to affect only certain users and/or regional data locations. The organisational policies, in the same way, can be instituted across all data content types, or limited to the required specified conditions. 3. How long does Microsoft Office 365 keep emails messages?
Microsoft Office 365 defaultive retention setting for all email messages & folders are defined as “Never Delete”. Thus, Microsoft Office 365 emails & contents of which should remain accessible to the organisation, unless acted upon by the user, or systematically deleted via custom retention policies. Hence, Microsoft has no stated policy of deleting emails automatically once they reach a certain time period.
4. How long does Microsoft Office 365 exchange online keep deleted emails?
Initially, when an email is deleted, its moved to the ‘Deleted Items folder’, which has an unlimited retention period setting. Email items can be manually recovered by the end user, from the ’Deleted Items folder’. When content is deleted from this folder, it moves to the ‘Recoverable Items folder’, which retention period is 14 days long, and can be extended to 30 days only by system admins. But, end-users and admins can restore items from this folder one at a time, using a ‘Single Item Recovery’ procedure. When an email has gone past its retention period, or is removed-deleted, it can be found in the ‘Purge Folder’.
5. How to restore emails from the purged folder?
Microsoft Office 365 emails which are in the ‘Purge Folder’ will be available for recovery up to a maximum of 14 days. After this short period of time only the system admins can use the ‘Single Item Recovery’ feature, to restore items for end users, the company employees. After the 14 day retention period ends, a permanent deletion process from the tenant occurs, and its no longer posible to restore emails, without a 3rd party backup solution.
6. What happens to ‘dormant’ Microsoft Office 365 accounts?
Microsoft Office 365 accounts end up as inactive once an employee offboards the organisation, or is on a prolonged leave. The system administrator, out of best-practice procedure, will in turn remove the users account, making the data and account restorable for 30 days, before it’s deleted for a permanent period of time. The organisation needs to have a policy in place to decide what to do with the license, going-forward, after a user has left, with regard to their OneDrive, email, contents, before permanently deleting the user, and all the content by removing the account from the organisation. It’s the organisation duty and obligation to make the data safe by using a 3rd party backup, with a retention period suitable for the organisational & regional policies. 7. How to restore a Microsoft Office 365 account once it’s deleted?
Once a Microsoft Office 365 user account is deleted from a tenant the system admin has a 30 day period in which to recover the account, and all its related data. Microsoft defines this period of time, as a ’soft deleted’ state, and instructions on a documented process (relying on the type of deletion) by which a system admin can attempt to completely recover the specific user account. After the 30 day’s retention time ends, the account is then permanently deleted (Microsoft: ‘hard deleted’) and recovery is not possible at all, if a 3rd party backup & restore solution is not pre-activated.
8. Why should we backup our Microsoft Office 365 Online data?
Microsoft as an organisation which has moved its solution to cloud, has placed emphasis on making your business data safe, and several processes are in place to remove the risks which cause business data loss, by putting in checks and balances to safeguard against faults caused by Microsoft.
Microsoft as a business entity is unable to safeguard its solution users, and protect them from their own actions, other external threats, and every possible data loss scenario beyond Microsoft’s control.
